Best Invoicing and Payment Apps for Contractors (Get Paid on the Job Site)

If you don't need full field service software, a dedicated invoicing or accounting app can handle billing and payments for less. If you already run Jobber or Housecall Pro, payments are built in. Here's what each option publishes for prices and processing fees.

Square Invoices

Square has three plans: Free ($0/mo), Plus ($49/mo per location), and Premium ($149/mo per location). In-person card payments are 2.6% + 15¢ on Free, 2.5% + 15¢ on Plus, and 2.4% + 15¢ on Premium. Manually entered or card-on-file payments are 3.5% + 15¢. Square says businesses processing over $250,000 a year can ask about custom pricing.

FreshBooks

FreshBooks lists Lite at $23/mo (invoices to 5 clients), Plus at $43/mo (50 clients), and Premium at $70/mo (unlimited clients), plus a custom-priced Select plan. Extra team members are $11/mo each, and Advanced Payments is a $20/mo add-on (included in Select). Premium includes project profitability. There's a 30-day free trial. QuickBooks Online

QuickBooks lists a Free plan ($0, 1 user, 2 invoices a month unless you enable QuickBooks Payments), Simple Start ($38/mo), Essentials ($85/mo, 3 users), Plus ($140/mo, which adds project profitability tracking), and Advanced ($340/mo, 25 users, with construction financials and advanced project financials). Paid plans include accountant access. These are the regular prices; Intuit often advertises temporary discounts.

Built into your field service software

If you already schedule work in Jobber or Housecall Pro, their built-in payments put the invoice and payment on the same job record. Jobber adds Tap to Pay on the phone and progress invoicing. Housecall Pro includes consumer financing on every plan and fee-free check deposit in its app.

How to choose

• Occasional invoices, lowest cost: Square Free.
• Service business that wants simple invoices plus bookkeeping basics: FreshBooks.
• You have a bookkeeper or CPA: ask what they use. It's usually QuickBooks Online.
• You also need scheduling and dispatch: use the payments built into your FSM.
